VB2022 FAQs

 

We are very excited to be planning the first in-person VB Conference since 2019. As the world is now a very different place and there are unpredictabilities both for us as organizers and for you as delegates, we have made some minor adjustments to the event, both to maximize the chances of the event being able to go ahead and to help you feel confident in planning to attend.

 

 

When does VB2022 take place?

VB2022 takes place over three days: 28, 29 and 30 September 2022.

 

Where is VB2022 being held?

VB2022 will be held at the Clarion Congress Hotel Prague in Prague, Czech Republic.

 

What does the ticket price include?

Ticket price includes:

  • Admission to all conference sessions
  • Conference proceedings
  • Drinks reception on Wednesday 28 September
  • Lunch, early morning refreshments and mid-session coffee breaks on all three days of the event
  • Drinks reception followed by gala dinner & entertainment on Thursday 29 September
  • Commemorative conference bag and t-shirt
  • Wireless Internet access in the conference area of the Clarion Congress Hotel

 

What if I buy a ticket for VB2022 but at the last-minute can't get there?

If you find yourself unable to attend VB2022 due to extraordinary circumstances beyond your control, such as illness, government-imposed travel restrictions or similar, in the first instance we would ask if you have a colleague who would be able to use your ticket in your place. If not, then we will offer a full refund minus a $100 admin fee.

 

Why are there limited numbers at VB2022?

After two years of not being able to meet in person we really want to maximize the chances of the event being able to go ahead (protecting, as far as we can, against the unpredictability of living with COVID-19). To this end, we have planned a slightly more streamlined event than in previous years, which will allow room to manoeuvre (for example, to increase spacing between seats) if necessary.

What is the cancellation policy for hotel bookings?

The Clarion Congress Hotel is offering VB2022 delegates a special early bird booking rate of EUR115/night (available until 27 July) or a standard rate of EUR135/night (inclusive of VAT and breakfast).

The hotel’s cancellation policy is as follows:

Cancellation fee equal to the full stay will be applied on the individual’s credit card for any cancellation made from 6:00 p.m. 2 days prior to arrival, any no show or early termination of the stay.

For hotel bookings at the "Early bird" rate, a one night non-refundable deposit is required, which will be charged directly by the hotel on the day of the booking.

 

What happens if one of the speakers I wanted to see can't get to the conference?

Whilst speakers have been asked to commit to presenting their papers in person in Prague, should they find themselves at the last minute unable to travel, we will have a plan in place for them to present (provided they are able) in virtual format, either by means of a recording or via a live web link (depending on individual circumstances).

 

Will the sessions be recorded?

Sessions in the Green room will be recorded, and will be made available to delegates for viewing after the conference provided permission has been granted by the speaker.

 

Can I submit a session for VB2022?

The VB2022 programme is already complete, however we are still accepting proposals for poster presentations.

 

What's a poster presentation?

New for this year, VB plans to run "poster sessions" in parallel with the main conference stream. Poster presentations are a great way to engage with your peers, share ideas, get feedback, and learn, all in an informal setting. Find out more here.

 

Will there be any special Covid measures in place?

The honest answer is that at this stage we just don't know. However, the room sizes at the hotel venue, along with a limit on the number of delegates attending, will allow us to use ample spacing, and if the organizers feel it necessary we will encourage social distancing and the use of face masks.

 

Can I bring a guest to the social events?

Probably. Due to operating a streamlined event, we can’t be sure at this stage what scope we will have for guest tickets at the social functions but we plan to try our best. Please tell us if you’d like to bring a guest and we will see what we can do!

 

Will special diets be catered for?

Please advise VB of any specific dietary requirements you have, and we will pass the information on to the conference venue and request that provisions be made. However, note that it is each individual delegate’s responsibility to inform the VB2022 Conference venue regarding any food allergies and/or intolerances that the delegate may have. For the avoidance of doubt, it is not VB’s responsibility to collect such information or to transmit details to the conference venue and/or hotel. VB hereby excludes liability for any delegate’s failure to inform the conference venue and/or hotel of any such food allergies and/or intolerances.
